Why publish the internals at all? Because a black-box estimate is just a quote with better manners. Certification cost is genuinely computable — accredited registrars all start from the same IAF MD 5 audit-time tables — and a shop that can see the math can also check any quote against it. That's the whole point.

What five inputs set your ISO 9001 price?

Five things move the number: headcount (sets auditor-days — the master variable), sites (each extra location adds roughly 60% of your base days), standard (AS9100 audits run about a third longer than ISO 9001), starting state (moves consulting cost up to ±25%), and whether a state training grant offsets consulting.

1. Employees — the master variable

Headcount drives auditor-days under IAF MD 5, and auditor-days drive most of the registrar bill. It's the closest thing certification pricing has to a law of physics. Note that registrars count effective headcount — part-timers, temps, and shifts are counted by rules, not vibes, which is one reason quotes vary (more below).

2. Sites to certify

Each additional location adds audit time — in our model, about 60% of your base days per extra site, matching how bodies quote small multi-site scopes. Two buildings across town is a materially different audit than one roof.

3. Standard — ISO 9001 or AS9100

AS9100 stacks aerospace requirements on top of ISO 9001, audits run roughly 1.35x longer, and registrars charge more per day for aerospace-qualified auditors. If a prime is flowing AS9100 down to you, read the AS9100 guide before budgeting off ISO numbers.

4. Where you are today

"Nothing written down," "some forms," or "a real system that needs tightening" — this input scales the consulting estimate (roughly +25% to −28%), because a consultant prices the distance they have to carry you. It deliberately does not change the registrar fee: the auditor charges the same days whether your system took one month or one year to build.

5. The grant toggle

Many states' incumbent-worker training funds reimburse about 50% of consulting and training costs. The toggle applies that to the consulting line only — never to registrar fees, which grants almost never cover. How are auditor-days actually calculated?

Accredited certification bodies determine audit time from IAF MD 5 — a mandatory document that maps effective headcount to auditor-days. A 10-person shop draws about 2 days for initial certification, a 50-person shop about 5, a 200-person shop about 9. Multiply days by a $900–$1,600 day rate and you have most of the registrar bill.

Notice the flat top of the table: below about 25 employees, everybody pays the same $3,000–$5,000. Minimum-engagement pricing swallows the day-count differences — an auditor still has to travel, open, audit, and report, whether your building holds 6 people or 24. This is the single most useful fact for a very small shop: being tiny stops lowering the audit bill sooner than you'd hope.

Surveillance audits in years two and three each run about one-third of your initial days (a $1,000–$2,000 annual bill for shops under 50), and the recertification audit every third year runs about two-thirds. What does the calculator's output actually mean?

The output is two routes to the same certificate. The consultant row is registrar fees plus a full-service implementation ($15,000–$30,000 band for small manufacturers). The DIY row is the same registrar fees plus documentation toolkit pricing ($189–$2,490 market band). The three-year totals add two surveillance audits to each.

And what the output deliberately leaves out, so you can add it honestly: your own 100–300 internal hours (gap assessment, writing, records, internal audit 9.2, management review 9.3), registrar travel billed at actuals, and application fees that vary by body. Why does the calculator differ from a consultant's quote?

Because a quote prices judgment calls the calculator can't see: how your effective headcount counts, whether design 8.3 is excluded, flow-downs, travel, and how much hand-holding you'll need. Expect real quotes to land inside the calculator's range but not at its midpoint — and treat any quote far outside the range as a question to ask.

The calculator's job is budget authority before the calls: knowing whether you're planning a $6,000 project or a $30,000 one changes who you call and what you ask. The quote's job is precision. In between, discrepancies usually trace to one of these:

What is IAF MD 5?

IAF Mandatory Document 5 is the International Accreditation Forum's rule set for determining audit duration. Every accredited certification body must derive your auditor-days from it, which is why certification cost is computable at all: headcount goes in, auditor-days come out, and the day rate does the rest.

Why is my consultant quote higher than the calculator's consultant row?

Usually scope: multiple sites, design responsibility under Clause 8.3, aerospace flow-downs, or a starting state closer to "nothing written down" than you rated it. Sometimes bundling — registrar liaison and training folded into one number. Ask for the itemized version before concluding anything.

Does the calculator work for AS9100?
